Generate and send a crew briefing

  1. Navigate to a flight leg and click the Crew Briefing button (screenshot 3CB) button

  2. Use the filters on the right hand side to select a time range (screenshot 4.2-1). You will be able to generate a crew briefing for flight legs within this range

  3. Select the documents you want to generate for each flight leg in the range (screenshot 4.2-2):

    1. Tick the CB box to generate a crew briefing

    2. Select a GenDec type from the drop down to generate a general declaration

    3. Tick the CabCrw box to generate a cabin crew briefing

    4. Tick the PaxTck box to generate a passenger ticket

  4. Click Generate Crew Briefing PDF or Generate Crew Briefing HTML (screenshot 4.2-3)

  5. If there have been any changes to the flight legs and they need to be reflected in the crew briefing, click Generate Crew Briefing PDF or Generate Crew Briefing HTML again

  6. Follow the procedure below to update recipients

  7. Click Send (screenshot 2-4)

Generate and send a proforma invoice

  1. Navigate to the Trip and click the Proforma Invoice (PF) button

  2. Follow the procedure below to update recipients

  3. Click Send

Invoice Due Dates

When generating an Invoice, NuvolOps now offers the ability to add a Due Date. This new field can be manually set at the time of invoice creation, or it can also be assigned a default value by Operator and client accounts.

Note that Invoice templates will also need to be modified for the Due Date to appear in PDFs.

To set default values, go to the Operator record and enter the appropriate value in the “Payment Term (Days)” field. This will automatically calculate the Due Date for all invoices generated by this Operator. If there’s a different agreement with a specific client, these default values can be overridden by setting “Payment Term (Days)” in the client Account record.

Generate, update, and send a quote

  1. Navigate to a Charter trip and click the Quote button (screenshot 5Q) button

  2. If a quote has been sent and a new flight leg is added, only this leg will be displayed in the Quote document by default (incremental quote)

  3. If required, click Customize Quote (screenshot 6.4-1):

    1. Select what items are added to the total price by ticking the 'Add to Quote' boxes

    2. Select what items are displayed on the quote by ticking the 'Display on Quote' boxes

  4. Follow the procedure below to update recipients

  5. Click Send

Review and update document recipients

  1. Review all recipients and remove any unnecessary recipients by clicking the little cross next to their names (screenshot 7.5-1)

  2. Add any required extra recipients:

    1. To add existing contacts:

      1. Select the type of recipient from the drop down (To, CC, or BCC) (screenshot 7.5-2)

      2. Start typing their name in the Add Contacts box (screenshot 7.5-3)

      3. Select their name from the drop down and click Add (screenshot 7.5-4)

    2. To add external e-mail addresses

      1. Click the Add E-mail Address button (screenshot 7.5-5)

      2. Type the e-mail address in the box that appears (screenshot 7.5-6)

      3. Select the type of recipient from the drop down (To, CC, or BCC) (screenshot 7.5-7)

      4. Click Add Emails (screenshot 7.5-8)

Sending Service Requests

 

  1. Navigate to the Services of the Trip

  2. Select the Service

  3. Click on the Service name to display the Service detail page

  4. Click on the Service Request button

  5. The Service Request email will be displayed. The email text can be changed as required

  6. The Supplier can be changed using the Change Supplier Button

  7. Select the Payment Method

  8. Enter the name of an additional Contact recipient in NuvolOps if required, or enter the email address of the recipient

  9. Send the Request

Change the Template Language

 

  1. On the Trip page, open Trip Arranged By Account in a new Tab

  2. In the Account Information section, the Template Language field shows currently selected language

  3. To change the language, click on the EN/FR button on the top of the page

  4. Click ‘'Please click here to get back to the Accoun’Account’' link to go back to Arrange By account

  5. Go back to your Trip and select the necessary document

  6. Ensure the Template is displayed in the chosen language

Send a Quick Quote to a Client

 

  1. Navigate to Trip Tab and Click the New Button

  2. Select the Aircraft, Company Name, Primary Contact, Primary Contact Role and Lead Source

  3. Select the Arranged By, Dispatched By and all other mandatory fields

  4. Create all the necessary Flight Legs

  5. Click on the Quick Quote button on the Trip Builder

  6. A new window appears with the Quick Quote template

  7. Check the email addresses in the Warning pop-up and after reviewing

  8. Click OK to send it

Create and Send a Quote with Multiple Sub-Charter Aircraft

...

 

  1. Click ‘'Sel A/C’' button on top the page

  2. Add two or more Aircraft and tick on all ''Include'' checkbox fields

  3. Adjust the Charter Cost for each Flight Leg on all included Aircraft using Price Calculator

  4. Click the Quote ''Q'' button on the top of the page to quote the Trip

  5. Ensure all Aircraft are shown on Quote, review the price and details of Proposed Aircraft

  6. Ensure a Primary Contact is added to the recipients list. If you wish to send the Quote to more Contacts, you can easily add them by typing in the name and selecting the proposed Contact or enter a single e-mail address by clicking ‘'Add E-mail Address’' button
