Create an Account

  1. Navigate to Accounts and click New (screenshot 1)

  2. Select a Record Type - there is a brief description of each record type provided

  3. Fill in the contact details, paying special attention to the mandatory fields in red (screenshot 2)

  4. Ensure that the following format is followed when entering a new Account:

    1. Account Name starts with a capital letter and is followed by lower-case letters 

      1. If an Account Name consists of more than two words, they should both begin with a capital letter and be followed by lower-case letters

    2. Abbr Name should be a shortened version of Account's full name and not contain any special characters

    3.  Phone and fax numbers should be stored in the following format: +00123456789 (plus sign, country code, number, with no spaces in between)

  5. Click Save

Set up a Client Specific Rate

  1. Navigate to an Account

  2. Find the Client Specific Rates Related List and click New Client Specific Rate (screenshot 3 and 4)

  3. Fill in the details and click Save

  4. All Trips created from now on for this Account and the selected Arranger will take the client specific rates into account

Add a Primary Contact to an Account

At any time there can only be one Primary Contact per Account. When sending a Quote, Flight Brief or Pro Forma Invoice, the Primary Contact will be defaulted as a recipient to the selected document

  1. Navigate to the Account you want to create a Primary Contact for

  2. Once on the Account record scroll down to Related Contacts (screenshot 1)

  3. If changing an existing contact to a Primary Contact, go to Step 4. To add a new contact to the Account as a Primary Contact, click the “New Contact” button, complete the fields with the available information ensuring that the all mandatory fields (marked in red) are filled and click Save (screenshot 2 and 3)

  4. Click the “View Rel” link next to the name of the Contact you wish to make primary (screenshot 4)

  5. Click the “Edit Relationship” button (Screenshot 5)

  6. If no Role shows in the Chosen box, select the applicable role from the Available box, and click the arrow to move it into the Chosen Box (Screenshot 6.1)

  7. Click the “Primary” checkbox (screenshot 6.2)

  8. Click Save

  9. After saving the Contact as a primary, Primary checkbox will be visible on the Related Contacts list (Screenshot 7)

The Primary Contact will be set as the default contact any time you create a new Trip for that Account. However, this selection will be overridden if a Trip is created for an Account and a different Contact is selected as the Primary while building the trip. In such case, the new Contact will be then set to the Account Primary Contact.
