Create an Account

  1. Navigate to Accounts and click New. (screenshot 1)

  2. Select a Record Type - there is a brief description of each record type on this screen

  3. Fill in the contact details, paying special attention to the mandatory fields in red. (screenshot 2)

  4. Ensure that the following format is followed when entering a new Account:

    1. Account Name starts with a capital letter and is followed by lower-case letters 

      1. If an Account Name consists of more than two words, they should both begin with a capital letter and be followed by lower-case letters.

    2. Abbr Name should be a shortened version of Account's full name and not contain any special characters

    3.  Phone and fax numbers should be stored in the following format: +00123456789 (plus sign, country code, number, with no spaces in between)

  5. Click Save

Set up a Client Specific Rate

  1. Navigate to an Account

  2. Find the Client Specific Rates Related List and click New (screenshot 3 and 4)

  3. Fill in the details and click Save

  4. All Trips created from now on for this Account and the selected Arranger will take the client specific rates into account

Add a Primary Contact to an Account

  1. Navigate to the Account and scroll down to Contact Roles

  2. Make sure there is not a Primary Contact on the account already - the Primary box should be unticked in all Contact Roles on the related list

  3. Click New to create a new Contact Role or click a contact’s name to edit that Contact Role

  4. Check the Primary box on the Contact Role

  5. Make sure the contact is set as the recipient for at least one document type

  6. To override the Primary Contact for a single trip, select a different contact on the Trip Builder during trip creation

  7. Primary Contact usage:

    1. The Primary Contact will be the trip primary contact by default whenever you create a new Trip for the Account

    2. The Primary Contact will automatically be copied into all Movement Messages

Manage the Accounts Watch List

  1. Navigate to Account Object. From the List View, open the drop-down and scroll until you see the Watch List (Accounts). (screenshot 5)

  2. Review the Accounts which are currently on the Watch List

  3. To add a new or existing account to the watch list, add one of the Watch List options (e.g. ‘Watch List (Payment)' to the 'Company Type' field and select the 'Account Source’ (EU Sanction or US Sanction)

NOTE: The Watch List options are the following:

  • Watch List (Payment) can refer to Contacts that currently have a Payment Issue.

  • Watch List (Visa Sanc) can refer to Contacts that currently have Visa travel sanctions placed under them.

  • Watch List (Econ Sanc) can refer to Contacts that currently have an Economic sanction placed under them.

  • Watch List (Fastjet Restr) can refer to Contacts that have flight restrictions with Fastjet.
