Aircraft Creation

  2. Add Cockpit Crew and Passenger Seating information (Cabin Crew, Crew Bunks and Pax Seats).

Contacts & Suppliers 

  1. Click magnifying glass icon to choose the Operator.

  2. Choose the Ops Type and Charter Approval

A/C Rates and Descriptions

If the Aircraft flies commercially, it is a must fill in the relevant fields if the A/C has Charter Rates.

In the Aircraft Descriptions section, add Interior Layout description which will be displayed on the Charter Client Quote documents

Click “Save” to finish.

External Aircraft Creation

  1. Navigate to the Aircraft Object and click button ¨New¨.

  2. Select Record Type ¨External Aircraft¨.

  3. After the “Continue” button, add Aircraft Name, the A/C Type, the Registration and the Registration Country.

  4. Fill in the information related to the “Flight Planning” and “Technical Information”

  5. Add Cockpit Crew, Cabin Crew Capacity and number of the Pax Seats in the A/C Speeds and Capacity section.

  6. Add the Base Airport and the Pref Cruise Mach mode from the pick-list (A/C Speeds and Capacity section).

  7. Add one or more Cruise Modes according the Aircraft Type (A/C Speeds and Capacity section).

Aircraft Contact & Description

  1. Add Aircraft Operator.

  2. Select Ops and Charter Approval type

  3. If needed add descriptions of Aircraft NotesInterior, Exterior and Sleep Layout.

  4. Add Maximum Take Off Weight (MTOW) and select its Units.

  5. Fill in A/C Rates and Engines.

Alternate Operators for Aircraft

Alternate Operators allow Users to specify different Operators for an Aircraft. Adding an Alternate Operator allows you to create Trips for that Aircraft using the Alternate Operator.

Step 1: Create the Alternate Operator

  1. Navigate to the Accounts tab and click New.

  2. Select the Record Type Operator. Ensure all the mandatory fields are completed. Click Save.

Step 2: Add the Alternate Operator to the Aircraft

  1. Navigate to the Aircraft and scroll down to the Contacts & Suppliers section.

  2. Select Alternate Operator 2 if the Aircraft does not yet have an Alternate Operator.

  3. Enter the Name of the Alternate Operator and click “Save”. The Alternate Operator will now be saved on this Aircraft.

Step 3: Request an AOC for the Alternate Operator

From new Operator record send a Chatter to @FlightWare or your regional System Administrator requesting to have an AOC configured for the Alternate Operator.

Ensure you specify if your region will be scheduling ExecuJet Crew for the Alternate Operator:

Example: “Please add a Commercial AOC to this new Alternate Operator. We also need to schedule Crew on Flights for this Operator so please ensure FTL´s are added as well.

FlightWare or your regional System Administrator will then action this request and confirm once completed. 

Selecting an Alternate Operator when building a Trip

When building a Charter Trip, populate the Trip Type and Selected Aircraft where an Alternate Operator is specified.

Select the Operator/AOC from the pick-list

  2. Select the record type: “Internal Aircraft” to create an aircraft operated by a Group Operator or “External Aircraft” to create an aircraft not operated by a Group Operator, and click Continue (screenshot 2)

  3. Enter the required fields and any other relevant information and click Save

  4. The Interior Layout on the Description section of the pop-up window will be displayed in Quote documents. (screenshot 3)

Request an Alternate Operator AOC

  1. Create a new aircraft and scroll down in the Details Tab, until you see Contact & Suppliers. Select an account on the Alternate Operator field. (screenshot 4)

  2. From this account, send a Chatter to NuvolOps Support requesting to have an AOC configured for the Alternate Operator

  3. Once the request is completed, you will be able to select this operator on trips using this aircraft

In the search results, select the necessary Aircraft Record.

Change the Aircraft registration to ensure the new registration is reflected in Aircraft Name and Aircraft registration fields and click “Save”.

Changing the Contract Name

  1. Click on the Contract record found under Aircraft Detail Information section.

  2. On the Contract record, click Edit  and change the "Registration" part of the Contract Name to include the new Aircraft Registration.

Change Internal Aircraft to External

Step 1. Remove the Aircraft Charter Rates and Demurrage

Please skip step 1 if the A/C flies only privately

  1. Search for the Aircraft's Registration in the Search bar

  2. On the Aircraft Record, scroll down to A/C Rates section.

  3. Change the A/C Contract Hourly Rate, A/C Contract Empty Leg Rate, Charter Rate and Empty Leg Rate

  4. Change the Demurrage to the format of 00:00.

Step 2: Setting the Aircraft to External

  1. On the Aircraft Record, click Change button on the Record Type.

  2. Change the Aircraft Record Type to ¨External Aircraft¨ and click Continue and ensure the ¨Is Internal Aircraft¨ checkbox is not ticked.

  3. Clear the fields of AOC.

  4. Change the Aircraft Operator that the Aircraft is Operated by.

If the Aircraft is not going to be operated anymore in the future, please select the Operator containing the word Old. As an example, ¨Execujet Europe Old Aircraft¨.

Click Save to complete the procedure.

Set up Avinode Aircraft

Avinode aircraft can be synced within FlightWare by following the instruction below:

Navigate to the Aircraft record and check the following field

If your region does not have any Aircraft synced with Avinode, contact Avinode to request sending schedule data and downloading the flight requests to FlightWare.

After this has been confirmed by Avinode, the Aircraft has to be set as an Avinode Aircraft as shown in the previous step.

Change Call Sign of Aircraft

To change the Call Sign on a Trip, click on the Flight Number.

  1. Navigate to the aircraft record and click on the change symbol under 'Record Type'. (screenshot 6)

  2. Change the record type to External Aircraft and click Next (screenshot 7)

  3. Untick the 'Is Internal' checkbox

  4. Clear all AOC, Charter Rate and Demurrage fields

  5. Update the Operator. Select an 'Old' operator (eg. [Operator] Old Aircraft) if the aircraft is not going to be used anymore

  6. Click Save

Set up Avinode Aircraft

  1. If this is the first Avinode aircraft of your region, contact Avinode to request synchronization with NuvolOps

  2. Once the synchronization is confirmed, navigate to the Aircraft record and check the Avinode Aircraft box (screenshot 8)
