Trip Setup _ Lightning
Create a trip
Navigate to Trips and click New. This will open the Trip Builder (screenshot 1)
On the top-right, select the trip type from the drop down (screenshot 1.1)
To create a Services trip, select Services and follow the instructions below
Under Aircraft, start typing the aircraft registration; it will autocomplete (screenshot 1.2)
Double check any fields that autofill and enter the rest of the information
In the Flight Legs section, type the name, ICAO or IATA of the departure and arrival airports, and select an airport from the drop down (screenshot 1.3)
Fill in the departure or arrival date and time; the flight time will be calculated automatically (screenshot 1-4)
To create more flight legs, click the green '+' sign on the right (screenshot 1.5) and repeat steps 5-6
To remove a flight leg, click the cross next to the '+' sign (screenshot 1.6)
Using the toggles above the Flight Legs section (screenshot 1.7), you can determine the following:
Whether overnights are calculated automatically or entered manually (only for Charter trips)
Whether local times or UTC times are displayed
Whether flight time or block time is displayed
Whether Airline Tools is used to calculate the flight time, or the calculation is made based only on Great Circle
Finish creating the trip
For Charter trips:
Make any required price adjustments (screenshot 1.8)
If you want to create the trip before sending out a quote, click Full Quote (screenshot 1.9). The trip will be created in the stage Quotation Request
If you want to send a quote to the client before finishing the trip, click Quick Quote (screenshot 1.10), then check the email content and recipients (screenshot 2-1) and click Send (screenshot 2-2). The trip will be created in the stage Quick Quotation Sent
For Owner, Pref Charter, and Flight Services trips:
Click Create Trip on the bottom right
Create a Services Trip
Navigate to Trips and click New
Select Services as the trip type on the top right (screenshot 1.1)
This will take you out of the Trip Builder and into a record creation screen
Fill in the mandatory fields (enter any value in the Trip Name field, which will be recalculated after saving)
Click Save
Adjust the flight time of a flight leg
Navigate to the trip and scroll down to the Price Calculator (screenshot 3)
Click the Flight Legs tab (screenshot 3.1)
Enter the flight time correction in minutes (use a '-' sign for negative values) under FT Corr (screenshot 3.22)
Adjust the Price of the Trip (Charter trips only)
Make sure the trip’s stage is Quotation Request or Quotation Change
Navigate to the trip and scroll down to the Price Calculator (screenshot 4)
Edit any of the following fields (screenshot 4.1):
Aircraft Amount
Gross Amount
Total Disc / Margin
Total Disc/Margin %
Total Dem Amount
Total Demurrage
All other fields will be recalculated accordingly
Change the Selected Aircraft in a Trip
Navigate to the Trip and click the Aircraft Change button (screenshot 5)
Begin typing the new Aircraft's registration in the Select an Aircraft box (screenshot 5.1)
Select an aircraft from the drop down and click Add to add it to the list
Tick the Included checkbox (screenshot 5.2) to include an aircraft on each flight leg; this aircraft will appear in quotes but will not be used to calculate pricing, flight time, etc.
Tick the Selected radio button to select an aircraft (screenshot 5.3) for a flight leg; this aircraft will be used to calculate pricing, flight time, etc. Only one aircraft can be selected for each flight leg
Change the currency of a trip
Navigate to the Trip and click the Currency change button (screenshot 7)
Select the required currency from the drop down
Click Change Currency
To refresh the currency exchange rates to more current ones, click Refresh Currency Exchange
Cancel a Trip
Navigate to the Trip and click the Cancel Trip button (screenshot 8)
Select a reason for cancellation from the drop down (screenshot 9)
Click Cancel Trip
Do not close the Cancel screen or browser tab until you receive confirmation that the trip has been cancelled (screenshot 10)
Manage an internal Sub-Charter Trip
The Different Entities Involved
Company A is the aircraft operator. We will call it the Operator.
Company B is the entity using an aircraft operated by another company. We will call it the Seller.
Company C is the client. We will call it the Client.
Trip setup
The Operator creates a Charter trip with the following details:
Arranged By: The Operator
Client Account: The Seller
The Operator sends a quote for this trip to the Seller
After receiving the quote, the Seller makes the following changes:
Arranged By: The Seller
Client Account: The Client
Stage: Quotation Change
Primary Contact: a contact related to the Client account
The Seller creates a Service with the following details:
Service: Sub Charter From Group
Offered Price: the margin required by the Seller
Arranger is Supplier: true
Add to Quote: false
The Seller sends a quote to the Client
